Phocas Software upgrades CRM with AI voice and pipeline view to cut admin time for manufacturing and distribution sales teams

Phocas Software has introduced new AI-powered voice transcription and a dynamic pipeline interface in its CRM, aiming to reduce administrative burdens for sales teams in manufacturing and distribution sectors amidst evolving digital demands.

Phocas Software has added two features to its CRM platform that it says are designed to reduce the administrative burden that often keeps sales teams from using customer records properly. The company is targeting distributors and manufacturers, where field reps frequently move between visits and have little time to type notes, update fields or reconcile information scattered across notebooks, phones and spreadsheets. Salesforce’s 2026 State of Sales report found that sales professionals spend only 40% of their week selling, with the rest consumed by research, planning, internal work and admin.

The first addition, AI Voice, lets reps record a meeting on a phone immediately after a customer visit. Phocas says the system transcribes the audio, extracts the useful details and converts them into structured notes and follow-up tasks. The practical aim is simple: if logging an account call takes less time than skipping it, the CRM is more likely to stay current. That matters because stale or incomplete activity records can weaken pipeline reviews, forecasting and coaching.

The second update is a drag-and-drop pipeline view that presents deals as cards moving across stages. Phocas says the layout is meant to give sales managers a clearer real-time view of where opportunities are advancing, where they are stuck and where intervention may be needed. The company adds that moving a deal between stages updates the pipeline automatically and preserves the activity history, avoiding the extra step of manual data entry at the end of the week.

Phocas is positioning the changes as part of a broader shift in CRM expectations. Mobile-first design has become a baseline requirement for field sales teams, not a differentiator, and more systems are being built to connect directly with ERP platforms so product, customer, order and margin data sit alongside account activity. Phocas says that combination is especially important in manufacturing and distribution, where sales cycles often depend on detailed operational data and where the biggest obstacle to adoption remains the same: too much time spent on administration and too little on selling.
